how to write a case study for marketing

How to Write a Case Study That Wins Clients (With a Simple Template)

A good case study does three jobs: it ranks, it convinces and it gets you named by AI. Here is a simple template, with the details that make people believe it.

Short answer: a case study that wins clients tells a short, true story: who the client is, what problem they had, what you did, and what changed, with real numbers, a client quote and photos. Write it so a similar business sees itself in it. Always get the client's permission first.

When a prospect is deciding between you and a competitor, nothing helps more than seeing someone like them who already got the result. That is what a case study is for. It also gives Google and AI tools specific, believable facts about what you do.

What is the simple template?

1. Headline with the result. "How a Kandy guesthouse doubled direct bookings in six months." Be specific, and make sure the numbers are real and approved.

2. The client. Who they are, where, and what they do. One short paragraph.

3. The problem. In their words if possible. What was not working, and what it was costing them.

4. What you did. The main steps, in plain language. Three to six points is enough.

5. The results. Numbers that matter to a business owner: enquiries, bookings, sales, calls. Include the time period. If you cannot share numbers, describe the change honestly.

6. A quote. One or two sentences from the client about the difference it made.

7. Photos. The team, the place, the work, before and after.

8. A next step. "Want similar results? Book a free audit."

What makes a case study believable?

Specifics. Real names, real places, real numbers with dates, and photos that clearly belong to the client. Avoid round, perfect numbers without context, and claims you cannot prove.

It targets searches like "[service] for [industry] in [area]", and it adds evidence that you do what you say. AI tools favour sources with concrete examples, and a named client case study is exactly that.

Where should case studies appear?

On their own page, linked from the matching service pages, and summarised near calls to action, where people make decisions.

What if you do not have permission or numbers yet?

Start collecting them now. Ask new clients at the start whether you can share results later, and set up tracking so you have the numbers when the project ends.
